Although not as fun as picking out your wedding dress or choosing flower arrangements maintaining an accurate guest list is necessary for any size wedding, especially if it is a catered event.  While getting a “yes” or “no” from your guests may seem like pulling teeth, there are tips you can use to make the process easier and less stressful for everyone involved.

1. Offer Online Responses and Snail Mail
Different guests often want to reply in different ways.  While you may want to offer a website or email option to friends, Grandma may prefer a simple card she can mail back.  Be clear on exactly how guests should respond and when they should respond by.

2. Add a Buffer
Don’t set the deadline for your RSVP’s the day or day before the venue or caterer needs the count.  Give yourself a buffer by setting the response a couple days to 2 weeks before.  This allows for plenty of time to follow-up on missing responses while accounting for guests that put the card in the mail the day it’s due.

3.Gentle Reminders are Necessary
While the wedding may be on your mind 24/7, it is probably not on your guest’s.  Following-up on missing RSVP’s is not only important but also necessary.  Contact them using Facebook, email, or even a text but picking up the phone is always best for a quick response.  And don’t wait for the last minute to start the process; give yourself at least a week before the numbers are needed.

4. Organize Your RSVP’s
Many couples want to offer more than one option for sending the RSVP.   This is wonderful for the convenience of your guests but can make the process of collecting and organizing them difficult.  To keep them all together, you need to have a plan.  As soon as responses begin rolling in have one place in which to store them.  This can be a basic spreadsheet, an online service, or even your wedding website.  The key is to quickly be able to determine who responded, who didn’t, and the total guest count.
